Event Tickets
Online “ticket” sales are a painless way for members to pay and organizers to track event response. There are just a few items I need to provide this service:
- 14 days advance notice prior to the date online tickets are to be available (this might be a month before the actual event). We often travel, so shorter notice risks me not being home or immediately having the time to get this done.
- The exact dates for when the tickets are to be available on the website. Before and after those dates, the tickets will not appear. The first date is probably when the event is being announced and the last date may be the day of the event — or earlier (e.g. when catering has a cutoff or to allow time to purchase adequate supplies). Early end dates for tickets should be included in your announcements.
- Ticket types and cost (maximum of 2), e.g. “Adult $20” and “Child 12 and under free”. Even if children are free, they should have “free” tickets in order to get a proper count.
- Event name (e.g. “Fall Event”).
- Event artwork or graphic: (1) must be properly licensed, (2) high resolution, (3) no event text. If the artwork is created as a PSD or SVG, please send that.
- Any very brief reminders, such as: “BYOB” or “Please bring a side.”
Notes:
- No other event information can be collected.
- If tickets are to be available at the gate, consider advertising those at a higher price to discourage it.
- Tickets will only appear on the website between the dates requested AND only if the special URL (https://BerkeleyLake.org/member-services/?event) is used. Publish this exact link in announcements. Casual public visitors to the website do not see event tickets.
- Details of ticket orders are available in real-time as a CSV file from this special URL: https://BerkeleyLake.org/event-orders/ (a password is needed, ask me if you don’t have it). This is useful to know the number and types of tickets ordered, and may also be useful at the gate to check members into the event.
- The Stripe service fee ($0.30/transaction + 2.9%) is automatically deducted from the ticket price so you will receive slightly less than the face amount. I *can* have it added to the price as a service fee, but folks hate that for event tickets.
Events Calendar
The BLHA Events Calendar is updated by a designated individual using Google Calendar under their personal Google account (“shared” accounts can not be used). When someone new is to be added and they do not have a personal Google account, they will first need to register one. Note: if you use Gmail, Google Photos, Google Drive, Google Docs, etc. then you already have a Google account.
The calendar will appear as an additional layer when the Google Calendar app is opened. Layers are easily toggled on/off and do not interfere in any way with the user’s default, personal events. When a different person becomes the administrator, the previous one will be removed and the BLHA calendar layer will no longer appear as a layer on their personal calendar in the Google web app.
For performance reasons, the website utilizes caching and does not actually query for up-to-the-minute changes to the calendar. Updates may take up to 6 hours to appear online.
This is an organizational calendar for the BLHA and should contain only events in which the BLHA is the organizer or co-organizer.
